What will you be doing in this position?

  • Invoicing & Receivables
    • Prepare client invoices based on construction progress (you’ll track job status with the team)
    • Send invoices once approved by the owner
    • Follow up consistently with reminders until invoices are paid
    • Track expected receivables and flag delays immediately
  • Payments & Payables
    • Log subcontractor/vendor payments (track what's due and when)
    • Notify the owner in advance of upcoming payment deadlines
    • Match receipts to payments and store all documents properly
    • Help owner decide who to pay and when, based on cash position
  • Bookkeeping & Reporting
    • Categorize and reconcile bank and credit card transactions weekly
    • Maintain organized job cost reports per project
    • Provide clean weekly financial snapshot (cash on hand, A/R, A/P, P&L summary)
    • Prepare monthly P&L reports and help maintain clean books for tax filing
  • Documentation & Clean Records
    • Name and organize all files (Google Drive + Buildertrend) — no clutter, no confusion
    • Ensure every transaction is documented and traceable
    • Maintain real-time visibility into the company’s financial health

What do we need from you?

  • 2+ years bookkeeping experience (construction industry preferred)
  • Must be familiar with invoicing based on job progress or construction draws
  • Proficient in QuickBooks Online (or equivalent software)
  • Strong skills in Google Sheets, Google Drive, and digital organization
  • Comfortable communicating with subcontractors and clients via email or WhatsApp
  • Fluent in English and Spanish
  • Highly detail-oriented and organized — nothing falls through the cracks
