What will you be doing in this position?
- Calendar & Schedule Management
- Coordinate and manage the CEO’s calendar, meetings, and appointments
- Schedule investor, vendor, and internal team calls
- Ensure seamless time management to optimize productivity
- Email & Communication Management
- Monitor, prioritize, and respond to emails on behalf of the CEO
- Draft and proofread correspondence, presentations, and reports
- Serve as the primary point of contact for internal and external stakeholders
- Travel Coordination
- Book flights, hotels, and ground transportation
- Prepare detailed travel itineraries
- Handle last-minute adjustments to travel plans as needed
- Investor & Stakeholder Support
- Prepare investor presentations, reports, and follow-ups
- Organize and manage investor communications and updates
- Assist in maintaining CRM records for investor relations
- Operational & Administrative Support
- Assist with project management tasks and document organization
- Manage expense tracking, budget reporting, and invoice processing
- Handle confidential information with utmost discretion
- Personal Assistance
- Help coordinate personal and household tasks for the CEO and family
- Assist with scheduling personal appointments and reservations
- Support with occasional research and special projects
What do we need from you?
- 3+ years of experience as an Executive Assistant, preferably in real estate, finance, or investment industries
- Strong proficiency in Microsoft Office, Google Workspace, and project management tools
- Excellent written and verbal communication skills
- Ability to work independently and anticipate needs proactively
- Strong organizational skills with meticulous attention to detail
- Trustworthy, reliable, and capable of handling confidential information
Your typical workday and workweek…
Typical Workday
- Morning: Review and prioritize emails, update the CEO’s schedule, and prepare for meetings
- Midday: Coordinate investor communications, update CRM, and assist with operational reports
- Afternoon: Handle travel arrangements, assist with personal tasks, and prepare briefing materials
- End of Day: Recap daily action items, plan for the following day, and ensure outstanding tasks are addressed
