What will you be doing in this position?

  • Calendar & Schedule Management
    • Coordinate and manage the CEO’s calendar, meetings, and appointments
    • Schedule investor, vendor, and internal team calls
    • Ensure seamless time management to optimize productivity
  • Email & Communication Management
    • Monitor, prioritize, and respond to emails on behalf of the CEO
    • Draft and proofread correspondence, presentations, and reports
    • Serve as the primary point of contact for internal and external stakeholders
  • Travel Coordination
    • Book flights, hotels, and ground transportation
    • Prepare detailed travel itineraries
    • Handle last-minute adjustments to travel plans as needed
  • Investor & Stakeholder Support
    • Prepare investor presentations, reports, and follow-ups
    • Organize and manage investor communications and updates
    • Assist in maintaining CRM records for investor relations
  • Operational & Administrative Support
    • Assist with project management tasks and document organization
    • Manage expense tracking, budget reporting, and invoice processing
    • Handle confidential information with utmost discretion
  • Personal Assistance
    • Help coordinate personal and household tasks for the CEO and family
    • Assist with scheduling personal appointments and reservations
    • Support with occasional research and special projects

What do we need from you?

  • 3+ years of experience as an Executive Assistant, preferably in real estate, finance, or investment industries
  • Strong proficiency in Microsoft Office, Google Workspace, and project management tools
  • Excellent written and verbal communication skills
  • Ability to work independently and anticipate needs proactively
  • Strong organizational skills with meticulous attention to detail
  • Trustworthy, reliable, and capable of handling confidential information

Your typical workday and workweek…

Typical Workday

  • Morning: Review and prioritize emails, update the CEO’s schedule, and prepare for meetings
  • Midday: Coordinate investor communications, update CRM, and assist with operational reports
  • Afternoon: Handle travel arrangements, assist with personal tasks, and prepare briefing materials
  • End of Day: Recap daily action items, plan for the following day, and ensure outstanding tasks are addressed
