We are seeking a proactive, detail-oriented, and emotionally intelligent Executive Assistant & Operations Coordinator. This individual will play a critical role in supporting daily operations, content delivery, task management, automation, and special projects. What will you be doing in this position?
- Manage calendars, schedule meetings, and coordinate appointments
- Handle email correspondence and client communications
- Project manage across platforms (Kajabi, Notion, Slack)
- Repurpose content (audio/video) into usable social media clips, blogs, email sequences, etc.
- Track community engagement and support onboarding of new members
- Manage systems and processes using tools like Zapier and Notion
- Provide light bookkeeping support and manage invoicing/follow-ups
- Assist in developing SOPs and internal workflows
- Support with automation build-outs and AI tool integration (with training)
- Serve as the gatekeeper and connector across all company initiatives
What do we need from you?
- 3+ years experience in an executive assistant or operations support role
- Familiarity with project management tools (Notion preferred)
- Comfortable with automation tools like Zapier (or willing to learn n8n)
- Proficient in Kajabi or similar CRM/course platforms
- Exceptional communication and task management skills
- Tech-savvy, fast learner, and solution-oriented mindset
- Background or interest in coaching, psychology, or personal development preferred
- Must be based in or compatible with Pacific Time (Canada preferred)
Your Typical Workday and Workweek…
Typical Work Day:
- Morning check-in with leadership to align priorities
- Triage emails and messages
- Track ongoing tasks/projects in Notion
- Create and repurpose content for social media and email
- Update community databases and follow up with members
- Schedule upcoming meetings and manage task calendar
Typical Work Day:
- 30–40 hours/week depending on availability
- Core working hours within Pacific Time Zone
- Recurring weekly tasks + ad hoc project support
