We are looking for a proactive and organized Executive Assistant to provide remote administrative support to a busy medical practice. The ideal candidate will be responsible for managing incoming calls, verifying insurance information, maintaining accurate patient records, and handling various administrative tasks, including managing social media profiles and providing excellent customer service. This position offers the opportunity to work remotely, supporting a medical team while maintaining smooth operations.

What will you be doing in this position?

  • Telecommunication Management: Answer and direct incoming calls, provide relevant information to patients, and ensure a high level of service by managing inquiries effectively.
  • Insurance Verification: Confirm patient insurance coverage, verify eligibility, and ensure proper documentation for smooth billing and claims processing.
  • Patient Support: Provide outstanding customer service by addressing patient inquiries, scheduling follow-up appointments, and ensuring patients' needs are met.
  • Social Media Management: Oversee and update the practice’s social media accounts, including Facebook, Instagram, and others, by sharing clinic updates, educational content, and patient stories (with consent).
  • Administrative Support: Assist in organizing and maintaining medical records, ensure patient details are accurately entered and updated in the system, and prepare necessary documentation.
  • Data Entry: Maintain patient records by inputting new data and updating existing information in the clinic’s database, ensuring accuracy and timeliness.
  • Calendar Management: Schedule appointments, meetings, and other important events for the doctor, ensuring smooth coordination without conflicts.
  • Research and Procurement: Conduct research on medical supplies, products, or services as needed, and assist with procuring items for the practice.
  • Billing Support: Assist with billing by preparing invoices, tracking payments, and working with the accounting department to ensure smooth financial operations.
  • Internal Communication: Facilitate communication between the doctor and the team, ensuring information is accurately conveyed, and appointments or procedures are confirmed.
  • Task Management: Prioritize and handle various administrative tasks, ensuring deadlines are met and tasks are completed efficiently.

What do we need from you?

  • Previous experience in a healthcare administrative role or customer service is a plus.
  • Knowledge of medical terminology and insurance verification processes. Strong communication skills, both verbal and written, in English.
  • Experience with social media management and content creation.
  • Proficiency in using scheduling tools, office software (e.g., Microsoft Office), and social media platforms.
  • Ability to work independently and efficiently, with strong organizational and multitasking abilities.
  • Compassionate and empathetic approach to patient interactions.
  • Comfortable working in a remote setting, with flexibility to adapt to US time zones.

Typical workday…

Typical Work Day

  • Morning: Answering patient inquiries, verifying insurance information, scheduling appointments.
  • Midday: Managing social media posts, responding to patient emails, assisting with administrative duties like invoicing.
  • Afternoon: Reviewing insurance documentation, assisting in preparation for patient consultations, handling telecommunication.
    End of Day: Preparing reports, managing social media content for the next day, and ensuring all tasks are up-to-date.

Typical Workweek

Monday to Friday, 40 hours per week. Flexible hours based on the needs of the doctor and the practice.
