The Customer Coordination & Scheduling Specialist will be responsible for managing client communications, coordinating appointments, and ensuring seamless interactions between attorneys, medical providers, and patients. This role requires exceptional organization, attention to detail, and a customer-centric mindset to facilitate smooth scheduling and case management processes.

What will you be doing in this position?

  • Schedule and coordinate telemedicine consultations for personal injury patients.
  • Manage inbound and outbound communication with attorneys, medical providers, and patients.
  • Oversee pharmacy prescription scheduling and delivery coordination.
  • Ensure accurate documentation of case details and updates within company systems.
  • Follow up with patients to confirm attendance and adherence to treatment plans.
  • Assist attorneys and medical providers with referral coordination and appointment tracking.
  • Maintain detailed records of client interactions and case progress.
  • Address inquiries and resolve scheduling conflicts in a timely and professional manner.

What do we need from you?

  • 2+ years of experience in customer service, scheduling, or case management.
  • Background in healthcare, legal services, or personal injury industry is preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in CRM systems and scheduling software.
  • Ability to work remotely with a high level of self-motivation and accountability

Your typical workday…

  • Begin day by reviewing schedule and pending follow-ups.
  • Make confirmation calls for upcoming telemedicine appointments.
  • Coordinate prescription fulfillment and communicate with pharmacy partners.
  • Assist attorneys and medical providers with case status updates.
  • Handle inbound inquiries and resolve scheduling conflicts.
  • Document updates, generate reports, and prepare for the next day's tasks.

Your typical workweek…

  • Monday-Friday schedule with flexibility for occasional weekend availability.
  • Regular team meetings to review case progress and address workflow improvements.
  • Ongoing communication with medical providers and legal teams to optimize scheduling efficiency.
