This role is a critical operational and client-facing position supporting the leadership team. You will manage active projects from sale through installation, act as the main client contact, and drive process improvements using CRM automation and project management tools. This position requires strong project management skills, technical aptitude with design software, and the ability to build and document efficient workflows.

What will you be doing in this position?
- Serve as primary client contact: manage inbound calls, emails, and updates with professionalism and clarity.
- Manage project lifecycles: coordinate design layouts, engineering permits, scheduling, and installation tracking.
- Build and automate workflows in Zoho CRM to improve sales and project operations.
- Research, select, and implement a construction project management system tailored to company needs.
- Create and document standard operating procedures (SOPs) for operations, onboarding, job tracking, and project close-out.
- Assist with light business development: follow up on prospects, track quotes, and support sales growth.
- Collaborate closely with leadership to free up time for business development.
What do we need from you?
- Fluent in English (spoken and written), bilingual in Spanish preferred to serve the South Florida market.
- Proven project management experience, ideally in construction, home improvement, or related industries.
- Experience with CRM setup and automation, preferably Zoho CRM.
- Familiarity with construction project management software or ability to quickly learn new platforms.
- Proficient with CAD/design software or strong willingness and aptitude to learn.
- Strong organizational skills, ability to document processes clearly.
- Professional, confident, and clear communicator for client interactions.
Your typical workday and workweek will be based on…
- Daily Tasks:
- Monitor and respond to client communications (calls, emails).
- Create or update project layouts using design software.
- Track project milestones, permits, and schedules.
- Work in Zoho CRM to update workflows and automate tasks.
- Research project management tools and provide recommendations.
- Document operational procedures and train team members as needed.
- Support follow-ups on quotes and prospects.
- Weekly Tasks:
- Review all active projects and update status weekly.
- Conduct weekly check-ins with leadership to align on priorities.
- Implement new processes and tools incrementally.
- Participate in business development support activities as scheduled.
- Continuously improve client communications and project tracking.
