We are eeking a Bilingual Virtual Enrollment Assistant (Spanish/English) to support the NYC Enrollment Outreach team. This role is vital in helping the organization connect with prospective students and their families by offering personalized assistance with the enrollment process. The ideal candidate will have strong communication skills, excellent organizational abilities, and a commitment to providing outstanding service in both English and Spanish.

This is a full-time position needed 9-5 EST hours

What will you be doing in this position?

  • Enrollment Support:
    • Assist with bilingual communication (Spanish/English) via email, phone, and chat platforms.
    • Help guide prospective families through the enrollment process, answering questions and providing clear instructions.
    • Manage and update the enrollment database to track leads and applications.
    • Coordinate and schedule virtual enrollment information sessions for prospective families.
  • Communication & Outreach:
    • Translate materials and documents, including emails, flyers, and promotional content, to ensure accessibility for Spanish-speaking families.
    • Draft and send bilingual outreach emails to prospective students and families.
    • Follow up with leads and provide timely responses to inquiries about the enrollment process.
  • Administrative Support:
    • Assist with scheduling virtual meetings and appointments related to enrollment.
    • Provide general administrative support, including data entry and document organization.
    • Maintain accurate records of communications and interactions with families.
  • Reporting & Analytics:
    • Assist with compiling and organizing enrollment data and feedback to help evaluate the effectiveness of outreach efforts.
    • Generate basic reports to track enrollment progress and identify trends.

What do we need from you?

  • Bilingual proficiency in Spanish and English (both written and verbal). ○
  • Excellent communication skills with the ability to engage professionally and clearly with families from diverse backgrounds. ○
  • Strong organizational skills with the ability to manage multiple tasks simultaneously. ○
  • High attention to detail and ability to follow processes accurately. ○
  • Proficient in Google Workspace (Docs, Sheets, Gmail) or similar platforms. ○
  • Ability to work independently and collaboratively as part of a remote team.

It's a plus if you have…

  • Previous experience in customer service, administrative support, or enrollment management.
  • Experience with CRM tools or database management.
  • Understanding of the challenges and opportunities within educational outreach, particularly in underserved communities.

Your typical workday, workweek and your performance evaluation will be based on…

  • Daily Tasks:
    • Respond to inquiries and emails from prospective families regarding enrollment.
    • Assist in updating and organizing the enrollment database.
    • Coordinate and schedule virtual information sessions.
    • Translate and prepare outreach materials.
    • Attend team meetings to discuss progress and challenges.
    • Provide feedback on the enrollment process to improve communication strategies.

  • Weekly Tasks:
    • 40 hours per week, 9 am - 5 pm EST
    • Outreach hours will focus primarily on weekdays, with occasional evening or weekend hours based on needs.

  • Performance Evaluation & KPIs:

The Bilingual Virtual Assistant will be evaluated on the following Key Performance Indicators (KPIs):

  • Timeliness: Prompt and accurate responses to all communication.

  • Enrollment Success: Contribution to an increase in completed enrollments and applications.

  • Data Management: Accuracy and organization of enrollment data and records.

  • Customer Satisfaction: Positive feedback from prospective families regarding communication and support.

The assistant will be accountable to the Enrollment Outreach Coordinator and will report regularly on progress, challenges, and suggestions for improvement.
