The Virtual Receptionist serves as the first point of contact for Spartan Law Group, ensuring that every caller and inquiry receives a professional, friendly, and prompt experience. This role supports the firm's client-first reputation by handling phone calls, routing inquiries, managing calendars, and providing general administrative support remotely. The ideal candidate is detail-oriented, warm, organized, and confident in handling high volumes of calls and tasks without sacrificing quality or empathy

What will you be doing in this position?

  • Answer and route incoming calls professionally and promptly
  • Take detailed messages and forward them to the appropriate person or department
  • Screen potential clients and direct legal intakes to the appropriate intake team
  • Monitor and respond to firm-wide voicemail inboxes
  • Schedule and confirm appointments, meetings, and follow-ups
  • Provide reminders and updates to clients via email, text, or phone
  • Manage shared inboxes and general administrative communications
  • Maintain accurate logs of daily communication and follow-up activity

What do we need from you?

  • Fluent in English; Spanish proficiency is a strong plus
  • Experience in reception, customer service, or legal admin preferred
  • Warm, professional phone presence and clear communication
  • Tech-savvy: able to learn and manage call systems, calendars, and CRMs
  • Detail-oriented and able to multitask in a fast-paced virtual environment

Your Typical Workday and Workweek…

Typical Work Day:

  • Logging into the VOIP phone system and Slack channels
  • Responding to missed calls and voicemails from the previous evening
  • Answering and routing calls based on department availability
  • Confirming appointments for the legal and intake teams
  • Entering new contacts and follow-up notes into the CRM or shared tracker
  • Participating in a brief team huddle or check-in
