The Receptionist & Clerical Assistant will be the first point of contact for clients and visitors, providing a warm, professional, and efficient experience. This role involves managing incoming calls, scheduling and confirming appointments, rescheduling when necessary, and assisting with day-to-day clerical support to ensure smooth operations.

What will you be doing in this position?
- Answer and direct incoming phone calls in a courteous and professional manner
- Greet clients and handle their inquiries or direct them to appropriate personnel
- Schedule, confirm, and reschedule appointments using our internal calendar system
- Maintain and update client information accurately in our database
- Handle incoming and outgoing mail and email correspondence
- Provide general clerical support including document preparation, scanning, filing, and data entry
- Coordinate with attorneys and paralegals to ensure schedules and meetings run efficiently
- Follow up with clients to confirm details or gather missing information
What do we need from you?
- Proven experience in a receptionist, administrative assistant, or similar clerical role (law firm experience is a plus)
- Excellent verbal and written communication skills in English
- Strong organizational and time management skills
- Tech-savvy with proficiency in office software (Google Workspace or Microsoft Office) and phone systems
- High attention to detail and ability to handle confidential information with discretion
- Ability to multitask and work independently in a remote environment
- Bilingual (Spanish-English) is a plus
