Executive Assistant to the CEO

This is not an entry-level administrative role. The successful candidate will act as a right-hand partner to the CEO, managing complex scheduling, cross-business coordination, high-volume communications, and operational follow-through. The Executive Assistant must demonstrate discretion, initiative, critical thinking, and the ability to operate independently.

What will you be doing in this position?

  • Manage CEO’s multi-layered calendar and proactively schedule meetings across time zones.
  • Coordinate travel arrangements (flights, accommodations, reservations) with attention to detail and preferences.
  • Serve as a communication filter and draft professional responses on behalf of the CEO.
  • Oversee inbox management using AI tools such as Fixer to prioritize and categorize incoming messages.
  • Ensure timely follow-up on action items from meetings (using tools like Fireflies.ai, Otter.ai).
  • Maintain organized digital systems across platforms like Google Workspace, Dropbox, and OneDrive.
  • Support operations across multiple businesses, handling project coordination and tracking deliverables.
  • Coordinate with internal and external stakeholders, including legal, finance, operations, and vendors.
  • Assist with document management, file organization, and confidential information handling.
  • Identify inefficiencies and help implement workflow improvements using tools like Trello and Zapier.

What do we need from you?

  • Minimum 5 years experience supporting C-level executives remotely.
  • Proven ability to manage tasks across multiple companies and teams.
  • Exceptional written and verbal communication skills.
  • Highly organized, resourceful, and proactive with minimal supervision.
  • Experience using AI tools for automation, transcription, or task optimization.
  • Familiarity with property management software (AppFolio) is a strong plus

Typical Workday

  • Morning review of inboxes and calendar; flag and respond to urgent items.
  • Update the CEO with a prioritized list of to-dos and reminders.
  • Check meeting transcriptions and generate follow-ups.
  • Coordinate travel or meetings for later in the week.
  • Organize files, summarize key documents, and support business operations.

Typical Workweek

  • Daily inbox and schedule management.
  • Weekly check-ins with the CEO and key stakeholders.
  • Ongoing project coordination and cross-functional communication.
  • End-of-week summary report of outcomes and next steps
