A successful and fast-growing plumbing and septic service franchise is seeking a full-time Remote Executive Assistant to support daily operations and contribute to its mission of delivering efficient, professional service to residential and commercial clients. Operating 24/7, this franchise is looking for a high-performing administrative professional who can take ownership of essential tasks, freeing up leadership to focus on revenue growth, team expansion, and localized marketing.

What will you be doing in this position?

  • Manage inbound and outbound client communications via phone, text, and email
  • Schedule and dispatch appointments using ServiceTitan
  • Monitor and manage workflows and job progress within the ServiceTitan platform
  • Prepare and send invoices promptly, ensuring accuracy and timely follow-up on outstanding balances
  • Maintain customer records, including updating contact details and service history
  • Monitor client satisfaction and coordinate follow-up communications
  • Assist with local marketing efforts such as posting to social media and tracking marketing campaign results
  • Draft and send email newsletters, seasonal offers, or appointment reminders
  • Organize documentation and SOPs using AI tools such as Scribe
  • Serve as a liaison between the business owner and team members for operational updates
  • Support day-to-day office administration, including filing, data entry, and calendar management

What do we need from you?

  • Proven experience in an executive assistant, office manager, or administrative support role
  • Strong communication skills in both English and Spanish (bilingual preferred)
  • Proficiency in ServiceTitan or similar field service software is a plus
  • Comfortable using AI-based tools and learning new software quickly
  • Strong organizational skills with a high level of attention to detail
  • Able to work independently in a fast-paced, remote environment
  • Experience supporting home services or field service businesses preferred
