The Administrative Accounting Coordinator will play a vital role in supporting the firm’s day-to-day operations, client communications, and accounting functions. This position requires someone with a strong foundation in accounting principles, excellent organizational skills, and the ability to manage recurring tasks and ad-hoc assignments efficiently in a fully remote environment.

What will you be doing in this position?

  • Download and organize client bank and credit card statements monthly
  • Prepare and submit monthly sales tax filings for multiple clients
  • Maintain and update client records within TaxDome practice management software
  • Monitor and respond to client inquiries via email and Slack promptly
  • Assist in entering and categorizing transactions in accounting software (e.g., QuickBooks, Xero)
  • Support document management, data entry, and digital filing tasks
  • Coordinate client onboarding tasks and assist with status tracking
  • Follow up with clients to obtain missing documents or clarify transactions
  • Assist with monthly reconciliations and ensure timely data updates
  • Prepare simple reports and summaries as directed by senior accountants
  • Participate in virtual training and team meetings

What do we need from you?

  • Background in accounting, bookkeeping, or finance (education and/or experience)
  • Comfortable with tax-related administrative work (e.g., sales tax, 1099s)
  • Proficient in using online platforms such as QuickBooks, TaxDome, Slack, and GSuite
  • Highly organized with strong attention to detail
  • Fast learner and proactive communicator
  • Reliable internet connection and computer setup for remote work

Typical Workday

  • Log into Slack and email to check and prioritize client communications
  • Update TaxDome tasks and review any deadlines
  • Download necessary statements and documents for assigned clients
  • Complete sales tax submissions or support tasks
  • Attend any team meetings or training sessions
  • Follow up with clients on missing info or clarifications

Typical Workweek

  • 30 to 40 hours/week during U.S. business hours (some flexibility allowed)
  • Recurring tasks (e.g., statement downloads, sales tax) + ad-hoc assignments
  • Weekly check-ins with team lead or firm owner
